Event Technology
Institutional Events recognize that an event can be significantly enhanced by technology and professional audio-visual support. Our services focus on technology in the classrooms, conference rooms, event spaces, and portable systems on campus. We provide training on the equipment. Technical equipment includes microphones, camera, projectors, screens, tvs, and computers. Other services include training on Zoom Video Communications platform.
A/V for Student Events
If you are a Baylor student, please route your A/V requests through the Student Activities Equipment Request Form located on the Student Activities website.
A/V for Institutional Events
Baylor faculty and staff should request A/V for events by submitting an Event Request Proposal. Be sure to check the box that reads "I am requesting assistance with audio/visual technology" and describe your A/V needs. Please note that filling out the form does not guarantee the availability and that all requests are fulfilled on a first-come, first-served basis.
Event Technology Policies
The following policies help us partner with you on your event to the best of our ability:
- Requests must be submitted no later than three business days prior to the event. For optimal availability, we recommended you submit your request one to two months prior to your event.
- All Institutional Event requests are booked on a first-come, first-served basis.
Equipment Check Out
Portable equipment available for check out is limited to microphones, speakers, projectors, and screens. Faculty and staff who check out equipment from our inventory are asked to adhere to the following policies:
- Pick-up or delivery of equipment is available from 9 a.m. - 4 p.m. Monday through Friday. Please call ahead (254) 710.4054 to schedule your pick-up time from our offices in Waco Hall.
- Equipment is checked out to the individual who assumes responsibility for its use. You will be charged the full replacement cost for lost or damaged equipment.
- Check out equipment is only available for campus use.
